SalusCare is a clinical psychology practice based in Nairobi, Kenya, providing psychological assessment, therapy, and mental health support services. We operate the SalusCare digital platform at saluscare.co.ke.

Account information: Name, email address, password (hashed).

Clinical intake information: Presenting concerns, symptom history, previous treatment, medications, and risk assessment responses provided during the AI-assisted intake process.

Assessment data: Responses and scores from validated psychological assessments (PHQ-9, GAD-7, PSS-10, WEMWBS).

Appointment information: Session bookings, dates, times, session notes.

Payment information: Transaction records. We never store raw card numbers or M-Pesa PINs.

Documents: Files you upload such as insurance cards and referral letters.

Technical data: IP address, browser type, session logs for security purposes.

We use your information to:

• Provide clinical psychology services and schedule appointments
• Allow clinicians to review intake and assessment data before sessions
• Process payments securely via M-Pesa and Paystack
• Send appointment confirmations, reminders, and assessment results by email and SMS
• Maintain clinical records as required by Kenyan law (minimum 7 years)
• Detect and prevent fraud and unauthorised access
• Improve the platform and our services

Your information is only shared with:

• Your assigned SalusCare clinician — for the purpose of your care
• Safaricom (M-Pesa) and Paystack — for payment processing only
• SendGrid — for sending emails (appointment confirmations, reminders)
• Africa's Talking — for sending SMS reminders
• Railway (our cloud hosting provider) — for secure data storage

We do not sell your personal data to any third party.

Clinical records are retained for a minimum of 7 years after your last appointment, as required by Kenyan healthcare regulations. Payment records are retained for 7 years for tax and financial compliance. You may request deletion of non-clinical account data at any time.

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and non-clinical data
• Withdraw consent at any time (this does not affect data already processed)
• Lodge a complaint with the Office of the Data Protection Commissioner of Kenya

We protect your data using industry-standard measures including TLS encryption in transit, AES-256 encryption at rest, role-based access controls, multi-factor authentication for clinicians, and regular security audits. All clinical data access is logged in our audit trail.

We use only essential session cookies to keep you logged in. We do not use advertising or tracking cookies.
